Replying to a deposit dispute review without making it worse

Deposit reviews are the trickiest ones a letting agent will face. The tenant feels they've been treated unfairly; you have a paper trail that says otherwise; and the whole thing is playing out in public where future landlords and tenants can read it. Get the reply wrong and you don't just annoy one person — you put off the next ten.

Why "but the check-out report clearly shows…" backfires

Two reasons. First, it reads as combative, and readers side with whoever looks calmer. Second — and this is the serious one — listing the deductions, the property, or anything that confirms the tenancy in a public reply can breach UK GDPR. You're processing personal data in public. Don't.

The structure that works

Example reply

"We understand deposit deductions are frustrating, and we're sorry this left a sour note at the end of the tenancy. Any deductions we propose are based on the independent check-in and check-out evidence and the scheme's process, and tenants can always challenge them through the deposit scheme. We'd rather talk this through properly than go back and forth here — please contact the branch and we'll go over it with you."

Notice what it does not do: it doesn't name the tenant, the property, the amount, or the alleged damage. It stays firm on process, soft on tone, and points to the deposit scheme's own dispute route — which is exactly where this should be settled.

When the review is simply unfair

Sometimes the claim is flatly untrue. You still don't litigate it in public. A short, composed reply that invites a direct conversation does more for your reputation than being right ever will.

"We don't recognise this as reflecting how we handled things, but we'd genuinely like to understand your experience. Please get in touch with the branch directly and we'll look into it."
